Position Summary

Reporting directly to the Director of Undergraduate Admissions and Recruitment, the Assistant Director for Transfer Credit provides leadership for the transfer credit area within Undergraduate Admissions. The incumbent, in collaboration with the Director, is responsible for the planning, execution and assessment of all transfer credit evaluation and processing for new and continuing undergraduate students and provides support to campus academic advising and degree completion initiatives. The incumbent manages the evaluation of transcripts for transfer credits and coordinates the maintenance of the transfer articulation tables for Course Transfer rules in the PeopleSoft/Campus Solutions (CS) Transfer Credit Module. The role is essential for ensuring the systems, procedures, and training are up-to-date, accurate, and implemented as required for external college-level course articulation and transferability.

Position Information

TRANSFER CREDIT EVALUATION COORDINATION & PLANNING

  • Ensure accurate and timely transfer credit evaluation processes for all new and continuing undergraduate students.

  • Oversee the posting of transfer, test, military, and other credit.

  • Maintain the transfer articulation tables in Campus Solutions.

  • In partnership with the Articulation Office, maintain and interpret articulations in the Assist and TES databases.

  • Maintain equivalency tables relative to Advance Placement (AP), CLEP credit by exam, International Baccalaureate Diploma Program (IB), Military, or other authorized providers.

  • Maintain international transfer credit rules according to the approved international articulation agreements.

  • Remain current in knowledge of curriculum to accurately advise incoming transfer and continuing/returning students on transfer credit.

  • Review processes and seek innovative ways to streamline and continue to be in compliance with policies.

  • Support CSU initiatives for Associate Degree for Transfer (ADT) and the Transfer Success Pathway (TSP).

  • Collaborate with the Registrar's Office, Articulation Office, academic departments, and other offices to address issues regarding transfer credit.}

    LEADERSHIP

  • Provide leadership and supervision to staff in a manner that promotes professional growth, good work ethics, and supportive of the mission and values of SF State.

  • Manage the daily work of the team, identify trends in transfer credit data, and make recommendations to the Director on team workload distribution and strategic initiatives.

  • Ensure accurate and current information is shared with the public by staff members regarding transfer credit.

  • Facilitate and participate in campus conversations pertaining to CSU system-wide needs addressing articulation, and other transfer related initiatives to help SF State become more transfer friendly around curriculum and articulation.

  • Serve as primary campus contact (for faculty, staff, and students) regarding undergraduate transfer credit and processes.

  • Offer training and support for other staff within Undergraduate Admissions & Recruitment to ensure timely and accurate pre-admission counseling, transcript evaluation for admission eligibility, and follow-up with prospective/new students.

  • Actively participate in SF State and CSU on-campus and off-campus events and programs including: campus taskforces, work groups and committees connected to Enrollment Management, Graduation Initiative, Student Success collaborations, educational equity, and access to higher education.

    ADMINISTRATIVE FUNCTIONS

  • Responsible for the timely completion of administrative tasks related to personnel management including: performance evaluations, absence management reports, requests for travel, and claims for expense imbursements.

    Minimum Qualifications

    The incumbent must have the ability to work effectively with individuals at all levels of the campus organization; work under general supervision; organize and plan work and project tasks and activities, including handling multiple priorities in a project environment; review and understand workflow concepts and principals; conduct systems and business process planning, development, and administration; and take initiative to independently plan, organize, coordinate, and perform work in various situations where numerous demands are involved. The incumbent must have the ability and/or interest in working in a multicultural/multiethnic environment.

    Management Skills: Possess enthusiasm and ideas for managing staff that will result in a team that is cohesive, professional, and committed to providing consistent and high-quality service. Experience evaluating and coaching staff in ways which build employee skills and productivity. Knowledge of strategic budgeting principles.

    Technical Skills: Possess excellent analytical and technical skills. Ability to effectively use these skills when communicating with the various on and off-campus stakeholders of the services provided by SOS. Ability to work effectively with Microsoft Office Suite (Word, PowerPoint, Excel, etc.).

    Oral Communication: Demonstrated ability to communicate professionally and competently with various types of audience, including: College Deans, Academic Department Chairs, High School and Community College Counselors, in an individual or group setting. Report writing experience is highly desired. Ability to competently and professionally interact with a culturally and ethnically diverse population of students, faculty and staff.

    Written Communication: Demonstrated ability to communicate well in writing and prepare inter-office memos and other required University documents in a clear and professional manner.

    Event Management: Demonstrated ability to plan and organize events that cater to various types of audience.
